In a bid to increase transparency and accountability, the LATAZNEC developed the Finance Management Policy to guide the receipt, storage, utilisation and overall accounting of funds received at all levels. This guidance is meant to reinforce the adherence to its provisions:
To Members
- The association strongly discourages CASH payment for any service – you advised to use either the accounts provided or the Airtel Money Service.
- Avoid sending money to any individual mobile money accounts and bank accounts.
- If your province has no bank account, you are encouraged to use the NEC Account or the Airtel Money SSD Service.
- Once you have made your payment, share the proof of payment with your Provincial Treasurer (numbers provided in the poster attached below).
- Remember to download, print, complete and sign the Membership Form. Afterwards, scan it and send it to necsecretariat@lataz.org.zm. Alternatively, compe the Online Membership Form by clicking here
Provinces and Districts
In an event that your share of the membership fee is deposited in the provincial or national bank account (as the case may be), you are entitled to claim that money provided you follow the following procedure:
- Prepare a budget for the activity for which you need the money and submit it to PEC or NEC as the case may be.
- Ensure that the budget is on an activity appearing on your annual workplan and signed by the chairperson and Treasurer. Where possible provide proof of activity approval in form of an invitation letter from either DEBS or PEO.
- Fill in the Fund Request Memo found on the website – dully approved by the Chairperson
- The Provincial or National Treasurer will raise a payment voucher and transfer the money to the District/Provincial Treasurer.
- After the activity, the district/provincial executive should send the activity and expenditure reports accompanied by receipts to the Provincial or National Treasurer for record keeping and audit. All reports meant for the National Treasurer should be sent to finance@lataz.org.zm
Association and government financial regulations should be adhered to at all times when handling finances.
